Health Informatics Intern – Summer Program
Duration: 8 Weeks (Summer) | Hours: 30-40 HRS/week
Start: mid-June
Compensation: Unpaid Internship
The University Pain Center, affiliated with the Rush University Medical Center, is seeking a Health Informatics Summer Intern to support the evaluation, optimization, and organization of EMR systems and clinical workflows. This applied internship offers hands-on experience with EMR assessment, dashboard monitoring, data tracking, and operational workflow improvement.
Interns will work under the close supervision of the administrative manager and staff, observing, assisting, and learning from experienced professionals while gaining practical experience in healthcare technology, workflow analysis, and process improvement.
This internship is ideal for students interested in health informatics, healthcare technology, clinical operations, or process optimization.
Key Responsibilities
- Conduct structured observations of EMR workflows, patient intake, documentation, billing, and clinical communication, with guidance and supervision from the administrative manager and staff.
- Assist with patient check-in and check-out processes and support supervised workflow improvements.
- Learn and navigate eClinicalWorks (eCW) and Healow App to understand clinical workflows and patient engagement tools.
- Take supervised phone calls to understand patient scheduling and clinic operations.
- Review and organize patient intake forms and other documents in eCW, ensuring accurate indexing, data integrity, and folder standardization under staff supervision.
- Monitor dashboards and metrics to track workflow improvements, patient statistics, and operational performance.
- Identify workflow inefficiencies and, with guidance from staff, propose measurable process improvements.
- Collaborate closely with clinical and administrative staff to implement recommended improvements under supervision.
Qualifications
- Current undergraduate student pursuing Computer Science, Health Informatics, Public Health, Healthcare Administration, Information Systems, Pre-Med, or a related field.
- Strong analytical, organizational, and problem-solving skills.
- Interest in healthcare systems, technology, and workflow optimization.
- Proficiency in Microsoft Excel.
- Professional communication skills and ability to maintain HIPAA compliance.
Requirements
- Must complete HIPAA certification prior to starting (training provided).
Learning Outcomes
By the end of the internship, students will:
- Understand how EMR systems and patient engagement apps (Healow) support clinical and operational workflows.
- Monitor clinical dashboards to track patient statistics and workflow improvements.
- Learn strategies for documentation standardization, data governance, and workflow optimization.
- Participate in improving the patient check-in and intake process.
- Produce a formal proposal for workflow or documentation improvements with measurable impact, under guidance from the administrative manager and staff.

Certified Medical Assistant (Entry Level)
General Summary: The Certified Medical Assistant is responsible for assisting Physicians with the evaluation, management, and treatment of patients in an ambulatory care setting. The MA assumes responsibility for maintaining patient flow, the upkeep of exam and treatment rooms, and performing basic skills such as taking vital signs and point of care testing. The individual who holds this position exemplifies the University Pain Center mission, vision and values and acts in accordance with Rush and University Pain Center policies and procedures.
Principal Duties and Responsibilities:
- Manage daily patient flow and prepare exam/treatment rooms
- Perform patient intake: vitals, history, allergies, medications, and reason for visit
- Assist physicians and physician assistants with exams and minor procedures
- Ensure all necessary reports and records are ready for each visit
- Accurately enter data into the EMR (eClinicalWorks)
- Schedule tests, referrals, and follow-ups as needed
- Maintain clean, stocked, and organized exam areas and equipment
- Support front desk or other clinic functions as needed
- Participate in quality improvement projects and daily team huddles
- Perform other duties as assigned to support clinic operations
Requirements
- Education: High School Diploma or GED
- Certification: Active CMA and CPR certification
- Experience: 1–3 years in a clinical or ambulatory care setting.
- Technical: Basic knowledge of EMR and basic computer tools
- Soft Skills: Excellent communication, organization, and multitasking abilities

Clinic Coordinator
TITLE: Clinic Coordinator
DEPARTMENT: Anesthesiology
BASED AT: University Pain Physicians at Rush Pain Center (UPC), UPC at Westchester. Must have flexibility to travel to both locations as needed.
REPORTS TO: Practice Administrator
General Summary:
The Clinic Coordinator/Receptionist exemplifies the UPC and Rush mission, vision and values and acts in accordance with Rush policies and procedures.
Primary Function:
Carries out all duties of Clinic Coordinator and ensures Front Desk is maintained and operated in an orderly and efficient manner to facilitate workflow and optimize the patient experience.
Principal Duties and Responsibilities:
- Scheduling of clinical and surgical appointments for clinic, Surgicenter and O.R.
- Authorizations - verifying patient coverage with insurance companies. Including prior authorizations.
- Enter new patient data.
- Handle large volume of incoming calls and ensure they are appropriately directed.
- Assists patients with any questions they may have regarding appointments etc.
- Directs any clinical/medical issues to appropriate personnel.
- Generates reports, Workers Comp letters etc. as necessary.
- Retrieval of medical records for copying as needed.
- Sorts subpoenas and disability papers for charts to be copied.
- Monitors office supplies and keeps Practice Administrator informed re need to re-order.
- Provide coverage for breaks or vacations as required.
- Any other projects assigned by Practice Administrator.
Knowledge, Skills and Abilities:
Qualifications: - Minimum High School Diploma. Some college preferred. Minimum 3 years Front Desk experience in a clinic setting. Knowledge of insurance carrier policies, prior authorizations and Medicare regulations preferred. Some knowledge of billing is helpful. Excellent communication skills, both on the phone and in person. Ability to prioritize and to work in fast paced environment. Must be willing to travel to both clinic locations (Rush downtown and Westchester) to provide coverage if necessary. Excellent computer skills. Experience with Electronic Medical record (EMR) is highly preferred. Clinic EMR is eClinicalWorks (ECW). Training on this system will be provided. Sensitivity to patient health information and protection of confidentiality is essential.
